MINUTES OF THE CLUSTER LEVEL MEETING HELD AT
KV BHU, VARANASI ON 08.02.2010

The cluster Level Academic meeting of Barauni and Mughalsarai cluster of Kendriya Vidyalaya Sangathan Patna Region was held under the Chairmanship of Clusters Incharge Shri Ajay Pant, Education Officer in the Presence of the Principals/their representatives at Kendriya Vidyalaya, BHU Varanasi on 08.02.2010
The meeting started exactly at 10:00 am with the warm welcome of Shri Ajay Pant, Education Officer and all Principals by students of KV BHU with bouquets and welcome song and welcome dance. Then venue principal Dr. SC Sharma, KV BHU welcomed Shri Ajay Pant, Education Officer and all Principals.
The following points of agenda were discussed, decided upon for compliance at Vidyalaya Level keeping in view the aims of the Kendriya Vidyalaya Sangathan for Academic excellence.
Ø Compliance report of the previous minutes of the meeting.
Ø It was emphasized that “not a single failure in the board examination is acceptable”.
Ø One question each day to be given to below average students in every subject as earlier directed in Academic inspection and previous cluster meeting on 24.12.2009
Ø Enrichment programme for excellence in the form of high achiever/toppers/cent percent results to be intensively monitored by Principal.
Ø No teacher/Principal to be on leave till 31.03.2010
Ø Principal to curtail tuition menace.
Ø Interpersonal relationship between Principal/Staff students in Vidyalaya to be made conducive for the welfare of the Vidyalaya.
Ø Vice-Principal/senior most teachers to be motivated effectively for help in academic functioning and supervision of the Vidyalaya.
Ø Library to be updated as per KVS library policy latest by 28.02.2010(Earlier instruction given on 24.12.2010).
Ø Effective NAEP implementation. Question box to be effectively monitored by the Principal.
Ø Broad-band speed to be maintained at least 2 mbps.
Ø Admission guidelines of 2009-10 will be effective for 2010-2011 also along with specific modifications as already intimated vide letter No. 28331/2009-KVS(PR)/Acad. Dated 01.02.2010. An experienced and tactful teacher well-versed with KVS Admission guidelines to be nominated as Co-ordinator for admissions along with Principal. The Principal Kendriya Vidyalaya is the Competent Authority for admissions. No case should therefore be referred to this office unnecessarily. This also reflects the competency at Principal level.
Ø During recent inspection the gardens of the following Vidyalayas were found extremely well maintained.
1. KV Chopan 2. KV Rihandnagar 3. KV RAU Pusa 4. KV 39 GTC Varanasi 5. KV BHU Varanasi 6. KV DLW Varanasi.
Ø Activity based teaching. Record keeping and use of ICT in Primary Section was found to be of high quality at KV Shaktinagar.
Ø The identification of high achievers and enrichment programme were found to be highly effective at KV No. 2 Darbhanga, KV No.1 Darbhanga, Shaktinagar, KV HFC Barauni and No. 4 Varanasi.
Ø One question per day should be given in all subjects and Principal should monitor.
Ø Identification of failure students and their treatment.
Ø Farewell to students must be given and in the farewell we should encourage the students by saying that you are winners.
Ø Use of matrix should be done by the teacher very carefully.
Ø Marks should not be made an issue when answer sheets of Pre-Boards are shown to students. Below average and above average students should be given more practice.
Ø Every official, financial document should be first signed by UDC/LDC then Principal.
Ø Weight of the bag as prescribed by the KVS should be followed particularly in the primary section.
Ø Sexual harassment completely banned and punishable.
Ø No Unfair means, No Moral turpitude, No physical punishments and No. tuition to exist in the Vidyalaya.
Ø No. Class room/departments doors will be closed while teaching.
Ø Girls be advised to move in the groups (atleast two) in the Vidyalaya
Ø Principal should inform to all teachers and students the email address i.e. CBSEHELP@ thehindu.co.in , also make personal use for CBSE.
Ø Teachers nominated to Monitor NAEP should be again reminded to follow the instructions given by Education Officers.
Ø Good interpersonal relationship should be maintained among the teachers/parents and students.
Ø Avoid groupism in the Vidyalaya.
Ø The records of subject committee meetings & minutes should be kept subject to inspection.
Ø Teachers absent on day of academic inspections should be noted down and case to be referred to cluster EO.
Ø Teachers and Principals must be sign on Teachers dairy with date.
Ø Focus on Gardening, pace setting activities, CCA, Alumni i.e. old students.
Ø E-mail should be checked daily.
Ø Circulated CBSE letter no. CE/CBSE/ACAD/CCE/2010 dated Feb. 03,2010 circular no. 06/10 regarding conduct of class – IX march, 2010 examinations
Ø After that the discussion on Result Analysis of II Pre-Board started and discussed minutely with suggestions under summative assessment-II
Shri Isampal, Assistant Commissioner, KVS(RO), Patna telephonically addressed all principals and gave instructions and guidelines the highlights which were --
Ø Scientific research has proved that the faculties of a child are designed for success.
Ø Child is born to succeed. The reasons for not succeeding is that the child does not have the will to succeed.
Ø Principal must remember that ‘nothing succeeds like success’.
To succeed
Ø Principals and teachers must have the will to succeed.
Ø Principals need to communicate an atmosphere of success.
Ø Desire to succeed. There must be input of systematic hard work and success.
Ø Principals to monitor. It is very important.
Ø Motivate the children.
Ø The child fails because he/she stops learning.
Measures
Ø Remove learning fear.
Ø Interact with, students and parents.
Ø Motivate and do not condemn the children.
Ø Appreciate dullards.
Ø The children are seeking the attention of teachers and parents.
Ø Do well. We have great expectations from you.
Ø Principal must act as Friend, Philosopher, Guide and Parent.
Ø Always be appreciative.
Ø Principals must ensure that teachers and students are available in the Vidyalaya.
He strongly instructed that KVS, Patna region result has to be on the top and the principal has to select a way that we are not humbled.
And finally the following requests of the principals are noted down by Shri Ajay Pant, Education Officer
Ø We are not scared of the examinations but we are scared of the result of the examinations.
Ø Request of the Principal, KV RAO, PUSA for the deputation of PGT(Chemistry) during holiday from 12-13th Feb 2010.
Ø Request of the Principal, KV Chopan to depute computer teacher for 05 days.
Ø Request of the Principal, KV HFC Barauni for deputation of PGT(Physics)
